I call to action today for all small business owners, coffee shop owners, manufacturers distributors, whomever you are – create your COVID-19 Folder. Whether it be a simple manila folder or an electronic file that you create on your iPod or on your server at the office, this folder will hold all relevant documentation that you will utilize to file for an SBA loan to a file for the SBA payroll protection program. On June 30th, the program will be over. If you received funds from the payroll protection program, your banker or your accountant is going to be asking for documentation to prove that you utilize the funds appropriately by paying off payroll. That being said, you need to download all payroll stubs and payroll journals from your payroll company and immediately place them into this COVID-19 folder. Any invoices with respect to rent, group health insurance, or utilities should be downloaded and put into this folder. Create copies of the checks that you write and place copies of them in this folder as additional documentation to prove that you utilized all funds appropriately during this time. You may even have extraordinary expenses related to the COVID-19 crisis with your employees working from home. Maybe you had to purchase laptops, computers, or computer screens for your employees to sign up for new memberships for Zoom or internet access. Keep all of those receipts, keep all those expenses segmented, and keep copies of those invoices in this folder so that you can legitimately provide that information to your accountant or to your banker when you are requested of it. Now we may not need this information until we file our 2020 taxes, but at least we have the information. Taking care of it today, here in April, will prepare us for the inevitable future. My call to action against you today is to create your COVID-19 Folder. Put all your appropriate documentation in there so it is readily available to you if anybody asks for it.
